What information do we need?

Unless specifically agreed with you, we will only collect personal data about your organisation which does not include any special categories of personal information about you or your organisation (also known as ‘sensitive personal data’. The information required is detailed in the Grant Application form.
Why we need this information?
Your information is being collected for the following purpose:
To assess your organisation’s eligibility for an Early Years Grant
We need to know this basic personal data in order to provide you with the services you have requested and to establish our rights in relation to those services, as detailed in the contract (or service agreement) we will have with your organisation if eligible. If you do not provide this information then we will be unable to provide those services to you. We will not collect any personal data from you that isn’t needed for delivery of those services.
The legal basis for collecting your information in these circumstances is:
Performance of a contract: Grant Agreement between PվɫÇéƬ and your organisation
Public Interest: Early Years has a monetary fund and allows applications from voluntary and non-profit organisations. The applications should come from organisations which meet the priorities for action within the Children and Young People’s Improvement Collaborative and PվɫÇéƬ & Bute’s Early Years Priorities with a focus on:
- Parenting to improve outcomes for children
- Supporting families with children under three
- Supporting childcare facilities which enhance outcomes for children
- Monitoring and identifying success measures are key to working in partnership to improve outcomes
What we will do with your information?
All of the information we collect from you will be processed by staff in the United Kingdom.
In order to ensure the grant process is fair and equitable the grants are discussed following evaluation at a meeting with Early Years Local Authority staff (including an Education Manager) and someone outwith the local authority such as a representative from Health.
You should also be aware that your data will be stored on servers located within the United Kingdom; the data will not be processed outside the European Union. All paper copies will be kept in locked cupboards. We will take all reasonable steps to ensure that your data is kept securely and more information on how we do this can be provided by the Data Protection Officer, or on request to Sheena Stewart on 01369 708517.
How long will we keep your information?
We will usually keep your information for a minimum of 7 years, after this period it will be destroyed under secure arrangements if it is no longer required for the lawful purpose for which it was obtained. Automated Decision Making
Automated decision making is not undertaken.
Your Rights
When you provide information to the Council, you will have the following rights:
- to withdraw consent at any time, where the lawful basis specified above is consent
- to lodge a complaint with the Information Commissioner’s Office – see below for details
- to request access to your personal data – please contact the Data Protection Officer if you wish to submit a request.
- to data portability, where the Legal basis specified above is i) consent or ii) performance of a contract
- to request rectification or erasure of your personal data, as far as the legislation permits – please contact the Data Protection Officer and provide details of what data you wish to be rectified or erased.
